Replacing a document
Replace a document with a different version.
You can use the Replace feature to overwrite the current version of a document in Document Manager with a file from your computer. When you replace a document, the existing version of the document will no longer be available for viewing or editing. Also, you can only replace documents with the same file extension. For example, you cannot replace myfile.txt with myfile.html.
To replace a document...
The option to replace a document is available only if the document is not locked and does not have a pending draft.
- If you are in the list view, click the document name to select the document you want to replace, and click Replace to continue.
- Enter the path of the new file, or click Browse and navigate to the file on your computer. The local file you choose in this step replaces the document in the Document Manager.
- Click Publish or Submit for Approval to copy the document from your computer and replace the current document in Document Manager. Publishing immediately makes the document public, and submitting for approval sends the document to the reviewers. Alternatively, you can click Save as Private Draft to replace the current document and keep it private for further editing. The options that you see depend on whether the draft approval process is enabled. See Submitting a draft for approval for a more detailed explanation of the draft approval process. Click Cancel to stop the operation. If you choose to cancel, changes are discarded, and the current document is not replaced.
