Documents

Documents are stored in the document library, and the document library is stored in the content publishing database. This database has the default name of wpcp50.

During database configuration, plan the size and number of documents you plan to put in your Document Manager. The size of your document repository must be considered when determining any spatial or performance issues.

You can use IBM Content Manager as your document management repository.

Opened files are temporarily stored on the server machine. Once document changes are committed, the new version of the document is stored in the document repository.

You can reconfigure WebSphere Portal content publishing to change which database is used for the document repository.

Document Manager can store multiple file types, including:

  • Text and word processor documents
  • Presentation documents
  • Spreadsheets
  • PDF files
  • Image files (such as JPEG or GIF)
  • HTML files

 

Folders

Users can create folders within the working document library to organize their documents. Folders and their contents can be searched within the library. Users can also create special folders called views that display specific documents that match a query. For example, a user might create a view called "Author A," that displays all the documents created by Author A.

 

Views

A view is a special folder that automatically shows you a related set of files. You create a view by selecting certain parameters. For example, if you want to view all documents that are about cats, you can enter "cat" as a parameter. If you want to view all documents authored by John Smith, you can enter "John Smith" as a parameter. If you want to view all documents that are about cats and authored by John Smith, you can enter "cat" and "John Smith" as parameters. The more criteria you add to a view, the more refined the end result.

Note: View names cannot contain the following characters: asterisks (*), question marks (?), less than and greater than signs (<, >), percent signs (%), apostrophes ('), quotes ("), backward and forward slashes (\, /), ampersands (&), at symbols (@), pipes (|), pluses (+), and pounds (#). The view name cannot be the same as an existing view name. Users receive an error message when naming with these characters. Names can contain spaces in the file name.

Users can specify the following query criteria for a view:

  • File name
  • Title
  • Description
  • Author
  • Language
  • Modifier
  • Creation date
  • Last modified

After a user creates a view, it will appear in the Document Manager interface as a special folder. Users can also edit and delete existing views. Deleting a view permanently removes the view from the repository. There is no way to recover the view once it has been deleted.
